How will we use the information we hold about you?

The categories of information we collect to administer and carry out our Finance functions are:

  • Basic personal information (such as name and address)
  • Current contact details: email address; telephone number/s
  • Bank details
  • National Insurance Number
  • Date of birth
  • Card payment details
  • Payroll data
  • Salary Information
  • Car registration

Our Finance Team process personal information in order to:

  • Issue Invoices
  • Recover debts
  • Collect direct debits
  • Pay Invoices
  • Process payments to employees and elected councillors
  • Submit grant funding claims
  • Process insurance claims

What is the basis for us to process your data?

The council processes financial information under the following lawful basis:

  • the performance of a contract to which the data subject is a party
  • a legal obligation or to fulfil a statutory obligation
  • there is a legitimate interest to process your information (for example when processing an insurance claim)

Who we will share your information with

Only relevant employees of Kettering Borough Council have access to information held in relation to Financial Services.  We also share personal financial information with organisations such as:

  • HM Revenues and Customs
  • Credit Reference Agencies
  • Insurance Companies
  • Childcare Voucher Providers
  • Law Firms
  • Loss Adjusters
  • Pension Providers
  • Employment Unions

We may share your personal information if there is a public interest to do so, or the law allows it, such as the prevention and / or detection of crime. This could include the need to disclose sensitive or confidential information such as medical details to other organisations.  We do not share information about individuals without consent unless the law and our policies allow us to do so.

The Council uses the facilities of an e-Commerce company, WorldPay, to process your credit/debit card transaction securely. All communication between you and WorldPay is encrypted and can only be interpreted by WorldPay. The Council does not have access to, or store your cards details. How long do we keep your records?

We will only keep your information for the minimum period necessary and in line with our Corporate Retention Schedule.  Financial information is kept for a maximum of 7 years.  Information will be securely destroyed when it is no longer needed.
